Adding Reference Details to Deactivated Tags
References let you add more detail about why an item was removed from inventory.
The Reason is the main category. Reference 1 and Reference 2 are optional fields for additional information.
Example
If an item was damaged by a staff member, enter:
- Reason: Damaged
- Reference 1: Staff breakage

Reference 2 can be used for another detail, such as a project, location, department, or incident number.
Suggested uses

Add a reference when deactivating tags
1. Select the tag or tags you want to deactivate.
2. Choose the appropriate Reason.
3. Confirm the Removed On date.
4. Enter the additional detail in Reference 1.
5. If needed, enter another detail in Reference 2.
6. Complete the deactivation.
The reference information is saved with the deactivated tag.
Find references in the Deactivated Tag Report
1. Open Inventory Dashboard.
2. Expand Reports.
3. Select Deactivated Tag Report.
4. Enter a value in Reference 1 or Reference 2.
5. Click Apply Filters.
You can also filter by reason, date, tag number, category, or last location.
Click Download CSV to export the report. The downloaded file includes both reference fields.
Keep your references consistent
Reference fields are free text. Use the same wording each time so your reports remain accurate.
For example, choose one term such as Staff breakage instead of entering different versions like Staff damage, Broken by staff, or Employee breakage.
