How to use chat and calendar to communicate about a project?

Use Project Chat and Calendar to Manage Projects
Keep project dates and team communication in one place by using Stageforce’s Calendar view with each project’s Chat.
Before you begin
Add the project’s Stage | Start Date and Destage | End Date in Project Details. These dates place the project on the Calendar. You should also assign the appropriate Project Leads and Team Members so the right people receive project chat updates.
1. Add or update the project schedule
- Open Projects, then select the project you want to manage.
- Click the pencil icon beside the project name.
- Enter the Stage | Start Date and time. Add an end date and time when needed.
- Enter the Destage | End Date and time. Add an end date and time when needed.
- Select Estimated if a stage or destage date is not yet confirmed.
- Click Save.
Estimated stage and destage events appear on the Calendar with an asterisk before the event name.
2. Review projects in Calendar view
- Return to Projects.
- Open the View menu and select Calendar.
- Choose the view that works best for your schedule:
- Month for a high-level workload overview.
- Week or Day for detailed scheduling.
- List or 3 weeks for a chronological view of upcoming work.
- Use Previous, Next, or Today to move through the schedule.
- Click a stage or destage event to open that project.
The Calendar shows project stage and destage dates. It does not replace project tasks, so use Tasks when work needs an owner, priority, or completion status.
3. Coordinate with your team in Project Chat
- Open the project from the Calendar or Projects page.
- Click the Chat icon beside the project name.
- Enter your update in the message field.
- Add a link, photo, or document when it helps the team act without searching elsewhere.
- Click the Send icon.
Project Chat keeps the conversation attached to the project. Assigned Project Leads and Team Members receive project chat notifications, helping everyone work from the same schedule and context.
A simple workflow to follow
Use the Calendar to answer when, Chat to explain what changed, and Tasks to define who is responsible.
For example:
- Update the project’s stage date.
- Open the project from Calendar view.
- Post a Chat message such as: “Stage date moved to Thursday at 9:00 AM. Updated access instructions are attached.”
- Create or update any related Tasks that need an owner or completion tracking.
Verify your updates
Return to Projects → Calendar and confirm that the stage or destage event appears on the correct date and time. Open the project, select the Chat icon, and confirm that your message and any attachments appear in the conversation.
Helpful tips
- Keep schedule changes in Project Chat, not the account-wide Chat, so the update stays connected to the correct project.
- Use Estimated for tentative stage or destage dates, then remove it once the date is confirmed.
- Keep messages action-oriented. Include the change, the date or time, and what the team needs to do next.
- Use Priority Comments for information that should remain visible directly beneath the project name, such as a critical access instruction.
