How to add items with Insite

How to add items to your inventory using Insite

Insite helps you add products to Stageforce from photos. It searches for a close product match and fills in available details for you. You review and edit everything before the product is saved to your inventory.

Before you begin

For the best results:

  • Use one photo for each product you want to create.
  • Photograph the full item in good lighting.
  • Keep the background as simple as possible.
  • Avoid photos that contain several different products.
  • Use JPG, PNG, HEIC, or WebP images no larger than 30 MB each.

You can upload several photos at once. Each uploaded photo creates a separate product.

1. Upload your photos
  1. In Stageforce, go to Inventory and choose the option to add a product.
  2. Select Add items with Insite.
  3. Click Add files, or drag and drop your photos into the upload area.
  4. Review the uploaded file list. Click Remove beside any photo you do not want to use.
  5. Click Continue.

Insite will begin searching for matches. The status beside each photo changes from Searching for matches to Ready when the search is complete.

If Insite cannot search a photo: Click Change image and upload a clearer photo. You can also archive an item you do not want to continue with.

2. Select the best match
  1. When the searches are ready, click Continue.
  2. Click Select a match for the first product.
  3. Review the suggested results and choose the one that looks most like your item.
  4. Click Confirm.
  5. Repeat this step for every uploaded product.

You can open the source link on a match to compare the original listing. If none of the results look right, select Let Insite handle it. You can correct the information during the review step.

If you change your mind, click Rematch and choose another result.

3. Review and confirm the product details

Insite adds the information it can find. Check every field before you confirm the product. Suggested information may be incomplete or may come from a similar item.

Review and edit the following as needed:

  • Product name and description
  • SKU or model number
  • Vendor
  • Width, depth, and height
  • Purchase date and purchase price
  • MSRP and retail price
  • Rental and sale prices
  • Category and subcategory
  • Warehouse section

You can also choose which suggested photos to save with the product. Use Remove background & crop to remove a background, crop an image, or rotate it.

Click Confirm product after reviewing each item. When every product is confirmed, click Finish to continue.

4. Choose the item structure and assign tags

For each product, choose how Stageforce should track it:

  • Single item: Use this for one-piece products such as a chair, plant, painting, or vase.
  • Item set: Use this when several pieces are stored separately but belong to one product, such as a bedding set or a glass-top table.

For a single item

Choose one of the following:

  • Assign ID tags now: Search for and assign the product's physical RFID tag.
  • Use phantom tags: Create temporary tags when the physical RFID tags have not been attached yet. You can replace phantom tags later.

For an item set

  1. Click Add parts.
  2. Enter the part name and quantity.
  3. Assign physical RFID tags or create phantom tags for the part.
  4. Add part photos if needed.
  5. Click Confirm.
  6. Repeat for the remaining parts in the set.

After assigning at least one tag, click Confirm item. On the final product, click Finish.

If you are not ready to assign tags: Click Skip item. You can also click Skip all items to save the remaining products without tags. Tags can be added later from Inventory.

Resume unfinished products

If you leave Insite before finishing, return to Add items with Insite. A message will show how many products are in progress. Click Resume to continue.

Products you archive can be viewed and recovered from the archived-products area in Insite.

Tips for better matches
  • Start with a clear photo of the full item.
  • Use a stock or retailer photo when you have one.
  • Pick the match that best represents the actual product, not simply the first result.
  • Open a match's source link when you need to compare details.
  • Treat suggested names, dimensions, prices, vendors, categories, and warehouse locations as a starting point. Confirm them before saving.
Troubleshooting

A photo is still processing

Wait for the status to change to Ready. The page updates as Insite searches and fills in product information.

Insite could not search the photo

Click Change image and try a clearer JPG or another supported image. Use a well-lit photo with the item fully visible.

None of the matches are correct

Choose Let Insite handle it, then replace the suggested information during Review and confirm. You can also go back and use Rematch.

I do not have RFID tags ready

Choose Use phantom tags, or skip the tagging step and add tags later from Inventory.
