You just signed up for Stageforce...now what?
Getting Started with Stageforce
Your onboarding guide
Welcome to Stageforce! We’re happy you’re here. This guide walks you through setting up your account, connecting your team, and adding your inventory—one step at a time.
Follow the steps below in order. You can get much of your account ready while you wait for your physical tags to arrive.
1 Review your account details
Start by checking that your company name, workspace address, subscription plan, and account owner are correct.
Need to make a change? Go to Menu > Settings > Account to update your details.
2 Get connected
Set yourself up to stay connected, whether you’re at your desk, in the warehouse, or on a staging job.
- Download the Stageforce app. Use the download QR code in the onboarding guide to get started.
- Join the Facebook community. Connect with other Stageforce users, exchange tips, and hear updates from the Stageforce team.
3 Add your branding
Make your workspace and client documents feel like your business by uploading your logo and banner.
- Logo: Appears throughout your workspace and on client documents.
- Banner: A wide header image that appears at the top of your branded pages.
Your branding carries through to the proposals, agreements, and invoices your clients receive.
4 Order your tags (Tags are ordered through our supply store but ship from atlasrfidstore.com. Allow 2-3 weeks to ship!)
Every inventory item you want to track in Stageforce needs a physical or virtual tag.
If you’re using physical tags, order them early. The onboarding guide estimates about three weeks before tags ship, so this is a good task to handle before moving on.
1. Review the Tagging Guide. Choose the size, quantity, and type of tags that fit your inventory.
2. Order your tags or print your own. When ordering, enter your company name and tag number range at checkout.
3. Create the matching range in Stageforce. Go to Menu > Tag Manager and enter the same range you ordered—for example, 1–600.
Double-check your numbers: The range in Stageforce needs to match the numbers on your tags.

5 Prepare while your tags are on their way
You don’t need to wait for your tags to keep making progress. Use this time to:
- Invite your team and set their access.
- Connect Stripe for invoicing and e-commerce.
- Create your active and upcoming projects.
- Choose how you’ll upload your inventory.
The next four steps walk you through each of these tasks.
6 Invite your team
Bring in the people who help run your business and give each person the right level of access.
Go to Menu > Settings > Users > Invite New User.
Use the roles below to help choose their permissions.

7 Connect Stripe
Stripe powers payments in Stageforce. Invoicing and e-commerce remain locked until Stripe is connected, so complete this step before you’re ready to invoice clients or sell inventory.
1. Go to Inventory > e-commerce > Settings.
2. Select Setup Stripe Account. Stripe will open in a new tab.
3. Follow Stripe’s onboarding instructions to provide your business information, banking details, and identification.
4. Return to Stageforce and confirm that all three checkpoints are green.
5. Toggle e-commerce on.
Once all three checkpoints are green and e-commerce is enabled, you’re ready to use these features.
8 Create your projects
Create a separate project for each property you stage. Each project becomes a central place for the information and work associated with that job.
Start with your active and upcoming properties, adding the relevant property and client details.
Once a project is set up, you can add accounts and contacts, send proposals and invoices, assign tasks, choose rooms, shop your inventory, assign inventory locations, sell inventory, and run reports.
Have contacts ready to bring in? Go to Menu > Contacts > Import.
9 Choose your inventory upload method
Stageforce offers three ways to add inventory. Choose the method that fits how you work and the information you already have.
Upload with Insite
Take photos individually or in bulk. Insite suggests matches and fills in item details for you to review. You’ll review the information, assign tags, and approve the items.
Add items manually
Enter items one at a time, including their product details, prices, and measurements. Then assign tags and categories. This is a helpful option for custom pieces that need individual attention.
Import a spreadsheet
For a bulk upload, go to Inventory > Import Products. Follow the import instructions to prepare and submit your .xlsx or .csv file.
10 Add your inventory
Once your physical tags arrive, you’re ready to build your digital warehouse. Follow these four steps for each piece:
1. Tag it. Attach the physical tag securely and discreetly to the item.
2. Photograph it. Take a clear photo and organize it in an album so it’s ready to upload.
3. Upload it. Add the item using the method you chose in Step 9.
4. Assign it. Select the matching physical tag number from the drop-down on the item’s record.
You can also assign tag numbers through Menu > Tag Manager. Before moving on, make sure the number in Stageforce matches the tag attached to the item.
Keep this process going as new pieces arrive so your digital inventory stays current.
You’re ready to get started
Your account is taking shape, your team has access, and your inventory has a place to live. You can now begin managing your projects, invoices, and inventory in Stageforce.
