Setting up and assigning a new roll of RFID or QR tags

This article walks you through what to do when you receive a new roll of physical tags from the Stageforce store or from Atlas RFID, and how to link those tag numbers to your inventory.

 

How tag numbering works:

 
When you order RFID or QR tags through the Stageforce store, you choose a starting tag number at checkout. The tags in your roll are printed sequentially from that starting number. So if your starting number is 2200 and you ordered 200 tags, you receive tags 2200 through 2399.
Your tags do not come pre-assigned to specific items. You assign them yourself inside Stageforce.
Before you assign tags: check for conflicts

Go to your tag manager under your settings menu. If you have been using virtual tags (those prefixed with letters like A, B, or C), make sure your new physical tag numbers do not overlap with any existing virtual tag numbers. You can check existing tag numbers by browsing Inventory and filtering by tag range.

Assigning a physical tag to an item:

1. Open the inventory item you want to tag.
2. Click 'Edit' on the item record.
3. Find the 'Asset Tag' field and enter the physical tag number printed on the label.
4. Save the item.

Repeat for each item you are tagging. The item will now appear in scan results when you sweep your RFID reader or scan the QR code with the app camera.

Tagging multiple identical items:

If you have 20 identical dining chairs, each chair needs its own unique tag number (for example, 2200, 2201, 2202). Create one product record, then add each tag individually to that product from the product detail page under **Tags**.

Troubleshooting: "I can't assign my new tags"

If you receive an error when trying to assign a tag number, check these things first:
- The tag number already exists. Tag numbers must be unique across your entire account. Look up the number in Inventory to see if it is already assigned to another item.
- The item is archived or retired. You cannot assign tags to retired items. Update the item's condition first.
- The tag starts with letters. Physical RFID and QR tags use numbers (or your chosen starting prefix). Virtual tags use letter prefixes. Mixing the two can cause conflicts.
