What is the best way to see how much inventory I have and what reports include images of my inventory?
Best option for seeing how much inventory you have: Products Report
Go to Inventory → Inventory Dashboard → Reports → Products Report.
With no filters applied, this gives you the broadest view of your active inventory. The totals at the top include:
- Products: Number of distinct product records or product types
- Tags: Number of individual tagged inventory units
- Tags hidden in sets: Tags associated with products configured as sets
- Working value: Replacement value
- Purchase value: Cost of goods
- Rental value
- Sale value
If the goal is “How many physical items do I own?”, the Tags total is generally the most useful count because each tagged unit represents an individual inventory item.
You can filter the Products Report by:
- Product attribute, including product name, description, vendor, or SKU
- Tag number
- Project under Listed at
- Warehouse under Warehoused at
- Category
- Subcategory
- Oldest or newest use
- Least or most used
The report can also be downloaded as a CSV for Excel or Google Sheets. The export includes product name, part name, tag number, purchase date, last-used date, purchase price, months staged, months active, times used, ROI, retail value, sale price, rental price, current location, MSRP, and vendor.
Thumbnail limitation: The Products Report and its CSV export do not include product thumbnails, image files, or image URLs.
Options that do include or support other inventory views
1. Vendor Report: visual report with thumbnail images
Go to Inventory → Inventory Dashboard → Reports → Vendor Report.
Select a vendor and click Print Report. This report includes:
- Product thumbnail
- Product name
- SKU
- Quantity
- Purchase price
- Subtotal
- Total item count
- Total cost
This is the best current option for a printable inventory report with images. The limitation is that it must be run by vendor. It does not create one combined visual report of every vendor at once.
2. Warehouse Manifest: physical inventory by warehouse
Go to Inventory → Inventory Dashboard → Reports → Warehouse Manifest.
Select a warehouse to see the products currently associated with that location, including items in Selected status for projects. You can sort by RFID tag number, product, or category and export the report to CSV.
This is the best option for performing a physical warehouse count or creating a warehouse checklist. If inventory is spread across multiple warehouses, run one manifest for each warehouse.
3. Deactivated Tag Report: inventory no longer in active service
This report covers items removed from active inventory, including tags marked sold, donated, damaged, missing, or another removal reason. It can be filtered and exported to CSV.
Use this when you need historical or inactive inventory information. Deactivated items are excluded from the active tag count in the Products Report.
Bottom line: You can run a complete active-inventory query using the Products Report, and you can download it as a spreadsheet. Thumbnail images are possible in the Vendor Report, but there is not currently one all-inventory Products Report that combines every item, quantity, and thumbnail image in a single report.
